Everything you need to know about preparing your dissertation for binding and library deposition without formatting rejection.
1. Margin Rules for Hardcover Binding (Gutter Margins)
- The single most frequent reason university examination branches reject printed theses is incorrect left margins. When a 250-page thesis is hard-bound with gold lettering, the stitching consumes between 0.5 and 0.75 inches.
- Left (Gutter) Margin: Must be set to 1.5 inches (3.81 cm).
- Right Margin: 1.0 inch (2.54 cm).
- Top Margin: 1.0 inch (2.54 cm).
- Bottom Margin: 1.0 inch (2.54 cm).
- If you keep standard 1-inch margins on all sides, the binding will swallow the first 3-4 letters of every line on left-hand pages.
2. Section Breaks & Dual Numbering
- Your document requires at least two distinct section breaks:
- Section 1 (Preliminary Pages): Numbered in lowercase Roman numerals (
i, ii, iii...), centered at the bottom of the page. - Section 2 (Main Chapters): Starting on Chapter 1, reset numbering to Arabic numerals (
1, 2, 3...), placed either top-right or bottom-center. - To achieve this in Word, insert a
Page Layout > Breaks > Next Page Section Break, unlink the header/footer from the previous section, and set "Start at 1".
3. Automated TOC, LOT & LOF Setup
- Never manually type your Table of Contents or dot leaders.
- Use Word’s built-in
Heading 1,Heading 2, andHeading 3styles. - Add captions to all tables (
References > Insert Caption > Table) and figures. - Generate dynamic Table of Contents, List of Tables, and List of Figures with one click.
4. Choosing Between APA, IEEE & Chicago
- Follow your discipline’s established standard:
- APA 7th Edition: Standard for Management, Psychology, Education, and Social Sciences (Author-Date format).
- IEEE: Standard for Computer Science, Electrical Engineering, and Technology (Numbered brackets
[1]in order of appearance). - Vancouver: Standard for Biomedical, Clinical, and Health Sciences.
- Chicago (Notes & Bibliography): Common in History, Fine Arts, and Humanities.
